Monthly File Reviews may go unseen by my clients but they are a valuable way for me to keep an eagle eye on all of our firm’s Long Term Disability settlement cases.
There is much activity that takes place in connection with each client’s claim that goes unnoticed by the client. Many times we are trying to walk a client through a phase of a claim which is sometimes problematic in the context of trying to minimize stress levels to facilitate medical recovery. Oftentimes we are successful in resolving a situation and the client may not even know a problem was averted.
What Is A Monthly File Review?
One such activity that I have faithfully undertaken has been the “Monthly File Review.” I set a reminder on my calendar to tackle this task each Monday, although I typically address it Sunday nights. The number of open Long Term Disability settlement files is divided by the number of Mondays which tells how many files I need to review that week. I have been personally doing this since my firm opened over 30 years ago.
Now, the mechanics of this task have become easier because I can access everything on the computer. I review to ensure the file is moving in the right direction. It is important to see that there are next activities scheduled and that the file itself is properly calendared to ensure each of the required activities is handled in an orderly fashion. This orderly process is very important in Short Term Disability or Long Term Disability as it is our way of keeping the pressure on the insurance company to act promptly.
The Big Picture
In the course of these reviews, I get the opportunity to take a “macro” look at the file. When a file is being handled in ordinary course, the daily activities such as responding to inquiries preclude the big picture because of the exigencies of the circumstances. The Monthly File Review is a review at a slower pace which allows insights to develop. Also, it allows me to alert my staff when I think a particular Long Term Disability settlement file needs a little more urgency.
At the same time, I have discovered files that were not progressing at all or were even going the wrong way. This can happen on the rare occasion on which I do not review a piece of mail or I was not apprised of a change in the client’s circumstances. Thankfully, there have been only a few of these over the years. The best I can say to my client is that at least it was only going that way for less than a month!
This one unseen activity proves time and again our firm’s value to our clients. It is also one way for me to keep the promise I make to all my clients: I am going to be actively involved in the handling of their claims. I am not necessarily able to take a pop quiz on any given file on any given day, but when it comes time to take the final on your claim, I will be prepared to ace that exam just as I did so many times in law school.
